How we protect and use your information

Applies to: our websites, and our mobile applications (the "Apps").
Wavii ("Wavii", "we", "us", "our") is committed to protecting your privacy.
This policy explains how we handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
It also explains your choices and rights, including how to contact us and make a complaint.
1. Who we are and how this policy applies
This policy applies to all personal information we handle in Australia in connection with the Wavii website(s), and mobile Apps. By using our website(s) or Apps, you agree to the handling of your personal information as described here.
If you deal with us from outside Australia, local laws may also apply.
Where we transfer personal information overseas, we do so in line with APP 8 (see Section 8).
2. Key terms
- Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.
- Sensitive information includes information about health, biometric templates, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, and union membership. We only collect sensitive information with your consent or where permitted by law.
- APP entity refers to entities regulated by the Privacy Act. Wavii treats itself as an APP entity and complies with the APPs.
3. The information we collect
3.1 Information you provide to us (non-exhaustive)
- Contact details (name, email address, phone number, postal address)
- Account and profile information (username, password, preferences)
- Payment information (processed by our payment partners)
- Communications with us (support requests, survey responses, feedback)
- Identity verification information where required (e.g., licence or ID details)
3.2 Information we collect automatically (web & Apps)
- Device and session data (device model, operating system, app version, browser type, language, settings)
- Usage analytics (pages or screens visited, features used, referring/exit pages, timestamps)
- Log data and event information (IP address, crash reports, diagnostics)
- Cookies and similar technologies (see Section 7)
3.3 Information we collect via the Apps (with your permission)
Depending on your settings and the features you use:
- Location (approximate or precise) to provide location-based features
- Camera and Photos/Media for features like image uploads or QR scanning
- Bluetooth and Nearby Devices for certain connectivity features
- Notifications (push notifications) — you can disable in your device settings
- Contacts or Microphone only if a feature explicitly needs it and you opt in
You can control or withdraw these permissions at any time in your device settings. Some features may not work without the relevant permission.
3.4 Information from third parties
- Identity, fraud-prevention and security partners
- Analytics and attribution partners
- Payment processors and app store platforms
- Social, marketing and advertising partners (if you have interacted with our ads or social pages)
4. How we use personal information (APP 6 & 7)
We use personal information (and, where applicable, de-identified data) to:
- provide, operate and improve our website and Apps;
- create and manage your account, and provide customer support;
- process transactions and verify identity;
- personalise content and features;
- monitor security, prevent fraud and misuse, and ensure network and information integrity;
- perform analytics, research and product development;
- send service, transactional and security communications;
- with your consent, send marketing communications and show relevant advertising (you may opt out at any time);
- comply with our legal and regulatory obligations.
We de-identify or aggregate information where feasible.
5. Direct marketing (APP 7)
We may use your contact details for direct marketing where permitted by law. You can opt out at any time by using the unsubscribe link or contacting us (see Section 13).
6. Your choices (APP 2, APP 5, APP 7)
- Anonymity/pseudonymity (APP 2): You may interact with us anonymously or under a pseudonym where lawful and practicable (for example, when making a general enquiry).
- Consents and settings: You can manage App permissions, cookies, analytics and marketing preferences in your device, browser or account settings.
- Consequences of non-provision: If you do not provide certain information, some services or features may not be available.
7. Cookies, analytics and tracking
We use cookies and similar technologies to recognise you, remember your settings, measure traffic and understand how our services are used. You can control cookies through your browser settings. We may use analytics tools (for example, Google Analytics or platform analytics) and advertising partners. These partners may set cookies or collect identifiers to measure performance and deliver ads. You can opt out of personalised advertising via your device or platform settings where available.
8. Disclosures of personal information (APP 6 & 8)
We may disclose personal information to:
- service providers who help us operate, host and support our services (including cloud hosting, storage, security, analytics, customer support and payment processing);
- professional advisers, insurers and auditors;
- law enforcement and regulators where required or authorised by law;
- parties to a business transaction (e.g., merger, acquisition or asset sale), subject to confidentiality.
Overseas disclosures (APP 8)
Some recipients may be located outside Australia, including (without limitation) the United States, the European Union, the United Kingdom and the Asia–Pacific region. We will take reasonable steps to ensure overseas recipients do not breach the APPs in relation to your personal information, for example by using contractual safeguards. In some cases, Australian law may permit disclosure without such steps (for example, with your express informed consent).
9. Security and retention (APP 11)
We take reasonable steps to protect personal information we hold from misuse, interference and loss, and from unauthorised access, modification or disclosure. Measures include administrative, technical and physical safeguards appropriate to the sensitivity of the information. We retain personal information only as long as needed for our functions or activities or as required by law, and then take reasonable steps to destroy or de‑identify it.
10. Access and correction (APP 12 & 13)
You may request access to the personal information we hold about you and ask us to correct it if it is inaccurate, out‑of‑date, incomplete, irrelevant or misleading. We will respond within a reasonable time. To make a request, contact us (see Section 13). We may need to verify your identity and, in limited cases, may refuse access or correction as permitted by law. If we refuse, we will provide reasons and how to complain.
11. Children
Our services are not directed to children under 13. If you are a parent or guardian and believe your child has provided personal information, please contact us so we can delete it or obtain consent as appropriate.
12. Data breaches and the NDB scheme
If a data breach is likely to result in serious harm, we will comply with the Notifiable Data Breaches (NDB) scheme by assessing the incident and notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) as required. We may also contact you proactively where appropriate.

14. Changes to this policy
We may update this policy to reflect changes to our practices, technologies, or legal requirements. The updated policy will be posted on our website and in the Apps with a revised "Last updated" date.
15. Additional information for app store platforms
When you download our Apps from Apple's App Store or Google Play, Apple or Google may collect and process personal information under their own privacy policies. We encourage you to review those policies and your device permissions.
